This notice explains what AFFGAM processes when people browse jobs, apply for a role, create a company page or manage hiring.
Who is responsible
AFFGAM operates the platform and is responsible for account, security and service data. Employers are responsible for the recruitment decisions they make using an application. Contact us at [email protected].
Information we process
- Account email addresses and authentication records.
- Company profiles, job postings and saved posting drafts.
- Applicant names, email addresses, CVs, optional notes and optional WhatsApp, Telegram or phone contact details.
- Private applicant profiles containing reusable application details, an optional headline, bio and work history, and a reference to a previously submitted CV.
- Hiring stages, interview times and employer-private notes.
- Saved vacancies and saved-search filters.
- Job-alert frequency and delivery history.
- Signed-in product activity such as sessions, page types, saves, searches and completed actions.
- Optional consent to hear about other relevant roles.
- Limited technical and security information needed to prevent abuse.
Why we use it
We process data to provide accounts, publish vacancies, deliver applications to the correct employer, operate the hiring workflow, provide saved searches and requested job alerts, secure the service and respond to support requests. Talent-pool contact and optional email alerts are controlled by the candidate.
Signed-in applicants can reuse their own previous application details and CV, or edit their private profile for future applications. A profile is not a public listing and is not searchable by employers. Employers receive a snapshot only when you apply to their vacancy; later profile edits do not change that submission. Providing an additional contact method does not opt you into the talent pool.
You can choose to turn your profile into a shareable page with a random, private link (affgam.com/u/…). It is off by default. When it is on, anyone you give the link to can see your name, headline, about text and experience, plus only the contact details and CV you choose to show. Shared pages are excluded from search engines, are never listed or searchable on AFFGAM, and are not counted in our analytics. Switching sharing off stops the link working immediately; people who already received it may have kept their own copy.
Legal bases
Depending on the interaction, we process information to provide the service you request, for legitimate interests in operating and securing AFFGAM, to meet legal obligations, and with consent for the optional talent pool. Consent can be withdrawn at any time without affecting earlier lawful processing.
Who can see an application
An employer can see only applications submitted to vacancies owned by that employer. AFFGAM’s owner and specifically authorised administrators can access the platform data required for support, safety, analytics and service operation. CVs are private and opened through short-lived access links.
Service providers
We use infrastructure and delivery providers such as Supabase for database, authentication and private file storage, Vercel for web hosting, and Resend where transactional email is configured. They process data only to provide those services to AFFGAM.
Retention and your choices
Recruitment data is kept only while it is needed for the hiring process, platform operation, dispute handling or legal obligations. Talent-pool use ends when consent is withdrawn. Job-alert emails can be paused or changed to dashboard-only from the candidate workspace, and deleting an alert removes that saved search. You can request a copy, correction, deletion, restriction or withdrawal of consent by emailing [email protected].
We use retention periods and review criteria based on the active hiring process, account operation, security needs, dispute handling and any legal record-keeping duties. Deletion requests may therefore be limited where information must be retained or another lawful basis applies.
International processing and complaints
Service providers may process information in countries outside the user’s own. Where required, AFFGAM uses appropriate contractual or legal safeguards. You may contact us first with a concern and may also complain to the data-protection authority available to you.
Cookies and local storage
AFFGAM uses storage required for authentication, theme preference and unfinished drafts. We also count page views, vacancy views and successful applications in daily aggregates to understand how the service performs. We estimate daily visitors by counting a network fingerprint once per day. These counters do not use analytics cookies, persistent visitor identifiers, visitor profiles, query strings or referrer histories.
A one-way network fingerprint may be held for no more than two days solely to deduplicate the daily estimate and limit automated or abusive counting. AFFGAM does not store the underlying IP address in its analytics tables and does not use this fingerprint to recognise or follow a person around the site.
When a person is signed in, AFFGAM records a limited first-party activity history so the service can support applicants, understand product use and diagnose problems. This may include a temporary session identifier, page category and completed actions such as saving a vacancy, creating an alert or submitting an application. It is retained for up to 365 days. AFFGAM does not record keystrokes, typed form contents, CV contents, raw IP addresses, referrer histories or session-replay video in this activity history.
